Tjekvik provides a connection to the Keyloop DMS Autoline. This is a two-way connection with appointment import and DMS writeback.
1: Functionality
Import for check-in:
Appointments for tomorrow are imported (batch import) every day at 16:30 local shop time, and this version of the appointment will be used for check-in (changes done in the DMS after the batch import will not be reflected in Tjekvik).
The import time is set to secure availability of appointments for home check which can be set for executing 17:00, 17:30, 18:00 or 18:30 by Tjekvik Support.
Live fetch for check-in is available (today +14 days) so appointments outside the batch import can be fetched.
Import for check-out:
Live fetch for check-out is available (today -14 days) so appointments outside the batch import can be fetched.
DMS writeback:
API writeback is available, so edited contact information and notes will be in Autoline automatically after "home check-in" or "full check-in is completed"
2: Workshop department mapping:
Not available right now, so all connected departments will be eligible for both check-in and out (Keyloop is testing an option to filter out departments, so this topic will be updated once we know more about these options).
3: Customer groups and appointment types:
Customer group Retail (if Customer)
Customer group Fleet (if Company)
Customer Waiting flagging when selected in Autoline
Customer Rental Car flagging when selected in Autoline (NOTE: This is often NOT used)
Internal appointments (appointments from the sales department) can be identified if created as INTERNAL and can be filtered out by Tjekvik Support.
Cash paying account (blocking of contact updates) is not supported, however, we do block updates if the account is set as "Company" in the Autoline settings
4: Appointment merging:
If more than one work order is detected on the same car on the same day, these appointments will be merged and displayed as a single appointment towards the customer during check-in.
5: Permission:
Tjekvik can connect to the Keyloop marketing permissions to import the marketing channels that the customer has selected. This needs to be set up by providing your marketing header, marketing statement and any additional information. The customer is only selected if they have not been asked within the past 18 months.
6: Work order details filtering:
Default delivered: Use and filter the provided content like the example below, and in this case, all appointments will be allowed for self-service check-in
Alternative (can be requested via Tjekvik Support): Hide all and show only a summary based on a single line with the RTS codes below (in this case only appointment with this content will be allowed for self-service check-in)
7: Total estimated price:
This is not supported, since the total estimated price is not delivered in the API content.
8: Check-in completed status update:
Customer check-in means that the vehicle has arrived and is ready for repair. This event is triggered when the appointment has a status of checked-in, either by using a kiosk or tablet.
9: Customer signature:
Currently, Autoline is not capable of fetching the customer signature from Tjekvik, so a dedicated email address for the appointment documentation (the full agreement including the customer signature) is needed.
We recommend something like this is used: "[email protected]"
10: SMS notifications:
All SMS communication is launched through our SMS provider.
11: Network settings/firewall settings:
