What is Two-factor Authentication, how does it work and how does it help?

What is Two-factor Authentication?

This is a security measure that will occur when you have been logged out. When you are logging in, it will ask you for a 6 Digit Code, which will be in your email. Simple!

Why does it help?

Being a web-based system, we have to be very careful. Customer data needs to be protected at all costs. For example, your DMS is installed in your network, and your network is protected. A web-based application is outside your network, so needs to take extra precautions to ensure security.

How does it help?

Security! As part of our ongoing efforts to ensure the security of your account, you will need to enter a 6 digit code when your account has logged off. When you are asked for this code, just check your email!

Do I need to do this?

2FA is commonly used across the industry, and is becoming more popular because it is a great addition to your existing security. That said, if your company decides they do not want to use 2FA, they can ask for 2FA to be disabled if they contact [email protected].

What do I need to do? (not much, really!)

  • Depending on your existing password strength, you may have to create a new, stronger, password. You will be told what is required when needed.

  • You will be prompted to use 2FA if your account is logged out. This will happen when you have been inactive for a time, or you log yourself out.

When will I need to do 2FA?

You only need to do 2FA when you are logged out, for example:

  • If you are inactive for 8 days, so you will only have to do the 2FA code if you have been not logged in for a week. (e.g. holiday)

  • When you log yourself out.

If your password is strong enough, you will log in as normal, then see this message:

  • Go to the email linked to your account and you will see the code you need:

Enter the code and...you're done!

  • If you do not see the code in your Inbox, check the Junk/Spam folders. If you still have not received this, you can click here to Resend the code:

    And that is it! Very simple, but very important!
